Job Description
We are seeking an organized and detail-oriented Executive Assistant with expertise in CRM systems (preferably HubSpot) and financial management tools such as QuickBooks.
Responsibilities
- Utilize HubSpot to manage leads, maintain and update contact information, and ensure accurate data tracking.
- Generate reports and analyze CRM data to support decision-making processes.
- Track expenses, process and pay invoices, and accurately record financial transactions using QuickBooks.
- Assist in budgeting and financial reporting tasks as required.
- Provide comprehensive support to C-level executives, including managing schedules, coordinating meetings, and handling correspondence.
- Prepare professional documents, presentations, and spreadsheets using the Microsoft Office Suite (Word, Excel, PowerPoint).
- Draft, review, and edit communications with a focus on clarity, professionalism, and tone.
- Serve as a liaison between executives and internal/external stakeholders.
Requirements
- College educated
- Candidates must provide either an NBI Clearance or Police Clearance (preferred) upon hiring
- Must be comfortable with using Hubstaff, a time-tracking application
- Proven experience supporting C-level executives.
- Proven expertise in using CRM systems, preferably HubSpot.
- Proficiency in QuickBooks for expense tracking, invoice processing, and financial recordkeeping.
- Advanced skills in Microsoft Office Suite, with a strong focus on Excel and PowerPoint.
- Exceptional written and verbal communication skills in English.
- Experience working with companies in aerospace, engineering, or other technical product industries is preferred.
- Familiarity with tools like ChatGPT for drafting and refining written communication.
- Flexibility to adapt schedules and work outside standard hours to meet client needs when necessary.
- Organized, detail-oriented, and forward-thinking.
- Professional, motivated, and adaptable with strong interpersonal skills.
- Professional-level English (written and verbal/voice)
- Computer or laptop with access to the internet (min speed of 25 Mbps)
Hardware Requirements
- At least a 720p HD Webcam.
- A noise-canceling headset.
- At least a 25mbps primary internet connection.
- A backup laptop, backup internet connection device, and backup power supply in case of power outage and emergencies.
- Minimum recommendation for your main computer: Intel Core i5 or equivalent with 8 GB RAM or higher
- Minimum recommended for your backup computer: Intel Core i3, 4 GB RAM
Compensation and Benefits
- Earn a competitive hourly rate, which can be up to Php 42,500 per month, based on experience.
